Peacock Marketing can help you with site visits & contract negotiations. Many times, we can provide event services, such as contract review or Banquet Event Orders (BEOs), that are associated with a group hotel block without any out-of-pocket costs to the customer.

Board, VIP Events, or Pop-up Meetings 

Peacock Marketing assists with board or small pop-up meetings by coordinating hotel/lodging and restaurant contracts, meeting logistics, menus, agendas, and activities. Peacock Marketing participates in planning calls and organizes event logistics. 

Hotel Demand is Larger than the Supply of Rooms 

From gas to groceries, there is no doubt that prices are on the rise. The travel industry is no different. Returning demand for travel and inflation have led to rising room rates, something major hotel chain executives say will not subside soon. We have witnessed a HUGE shortage of rooms for events, as well as a significant jump in prices. Meetings and incentive trips were set aside during Covid, and even though those events have been rebooked and are long gone, it is still a tug-of-war between supply and demand!  We’ve also noticed that many of the best venues are fully booked two plus years in advance – crazy!   

Site Visits

When selecting a property to serve as the selected venue, Peacock Marketing strongly suggests a planning visit at the potential site(s) prior to signing a contract.  During this phase, Peacock Marketing will: 

  • conduct research and develop an RFP to send to the ideal properties in the area 

  • solicit quotes and concessions, track everything on a spreadsheet 

  • shortlist properties  

  • negotiate contract terms, concessions, and conditions 

  • investigate off-site options for activities and meals, if time allows
